Job Role: Accounts Payable Specialist

The position of Accounts Payable Specialist (WFH) is specifically designed for individuals with strong accounting skills and attention to detail. The primary responsibility will be to manage all aspects of subcontractor and vendor payments, as well as employee expense reimbursements. This role is critical for maintaining the financial integrity of the company and ensuring timely processing of all financial obligations.

Job Responsibilities

  • Accounting Data Entry Duties:

    • Enter approved bills into QuickBooks or JobTread Construction Software.
    • Process bi-monthly check runs for vendor payments.
    • Download and record approved expenses from Expensify.
    • Reconcile vendor statements and settlement statements from Expensify.
    • Enter job cost budgets and change orders into QuickBooks Desktop.
    • Reclassify job costs when requested by Estimators/Project Managers.
    • Regularly review and correct any coding discrepancies in overhead or classes.
    • Assist the Controller with additional accounting duties.
  • Accounting Admin Duties:

    • Maintain and update vendor records in QuickBooks including contact details, insurance certificates, and W9 forms.
    • Track and issue trade agreement packages ensuring completion.
    • Ensure that vendor records are current and remove any that are inactive when necessary.
  • Vendor Communications:

    • Serve as a point of contact for vendor inquiries about payment and documentation.
    • Request and track Certificates of Insurance and W9 forms as needed.
    • Follow up on missing documents and communicate with vendors to resolve any issues.
