Role of the Guest Experience Coordinator

As a Guest Experience Coordinator, you will play a pivotal role in shaping the first and lasting impression of Circle Headquarters. You'll be responsible for the day-to-day reception, concierge, and light facilities duties, ensuring all guests, Circlers, and vendors experience seamless, comprehensive service when they enter the company premises.

Daily Responsibilities

Your typical day will start with preparing the physical space before opening, which includes performing a walk-through to verify cleanliness and adherence to brand standards.

Responsibilities include:

  • Powering up coffee machines and restocking amenities
  • Drafting daily HQ brief summaries outlining visitors and scheduled activities
  • Serving as the primary greeter, managing badges, and addressing service requests
  • Ensuring communal areas remain tidy and well-stocked throughout the day
  • Managing incoming and outgoing shipments, logging requests, and following through on vendor work orders
  • Assisting with special projects as needed, from executive events to office processes
  • Performing closing duties such as final cleaning and securing the premises

Required Skills and Qualifications

To excel in this role, you must bring in at least 2+ years of experience in roles such as hospitality, hotel concierge, facilities coordination, or front-of-house hosting. A proven track record in delivering exceptional customer service in a high-paced environment will be essential.

Key Skills Include:

  • Polished verbal and written communication skills, especially with executives and external partners
  • Familiarity with tools like Google Workspace, Slack, and basic ticketing systems

Employment Details

This position is defined as a full-time hourly role, offering eligibility for overtime as per Fair Labor Standards. It mandates presence on-site five days a week, making it ineligible for remote work.
