Pearl Talent is seeking an Executive Assistant/Community Leader to work in the Professional Services/Education sector. Responsibilities
The position blends three main domains: executive support, community management, and project coordination. The responsibilities are divided as follows:
Executive Support
Draft, edit, and review communications, presentations, and reports for executives.
Manage the senior executive's calendar, coordinating meetings across multiple time zones.
Handle travel arrangements, ensuring timelines and accommodations are seamless.
Prepare comprehensive materials and documentation to support executive teams.
Community Leadership & Member Operations
Administer and manage the learning management system (using WordPress + Learndash).
Communicate effectively with members via email and Mailchimp, providing updates and engagement opportunities.
Onboard new members, fostering relationships and building community rapport.
Track and maintain records regarding member details, payments, and renewal statuses.
Event Coordination & Project Management
Plan, execute, and oversee training programs, workshops, and events from start to finish.
Maintain project plans to deliver milestones, deadlines, and deliverables.
Act as the liaison for vendors, clients, and event participants, ensuring quality execution.
Gather feedback post-event and compile reports to inform future initiatives.
Operational Efficiency & Internal Coordination
Manage vendor and supplier relationships, including contracts.
Continuously improve internal workflows to enhance efficiency and effectiveness.
Develop and maintain standard operating procedures (SOPs) and internal documents.
Work collaboratively with marketing and client engagement teams to ensure alignment.
Required Skills
Must-Haves
3 to 5+ years of relevant experience in roles such as Executive Assistant, Project Manager, or Operations Associate.
Proven background in supporting senior leadership or managing communities.
Proficiency in using WordPress and LMS platforms like Learndash.
Excellent organizational skills with a sharp attention to detail.
Strong English communication skills, both written and verbal.
Capability to work independently while managing multiple priorities effectively.
A bachelor's degree or equivalent professional experience is preferred.
Nice-to-Haves
Previous experience in professional education, events, or training is an advantage.
Familiarity with CRM software is beneficial.
Tech-savviness and readiness to adopt new tools and technologies quickly.
