Role Description

As an Executive & Operations Assistant, you will provide essential support to the Managing Director and the Executive Team, ensuring that internal operations function smoothly. This role transcends typical administrative tasks. You will be the operational backbone of the organization, helping to maintain structure and efficiency in various tasks ranging from inbox and diary management to leveraging your ability to foresee what’s needed next in a fast-paced environment.

Responsibilities

In this role, your primary responsibilities will include:

  • Providing Executive Support: This involves managing schedules, organizing meetings, and assisting with the day-to-day activities of the executive team.
  • Managing Internal Processes: You’ll oversee the onboarding of new Franchise Owners, maintain document control, and ensure effective communication between the studio and franchisees.

  • Coordinating with Stakeholders: Collaborate with suppliers and contractors to ensure smooth operations and management of studio fit-outs.

  • Maintaining Systems: Regularly update and manage various systems such as CRM and training logs to keep records accurate and up-to-date.

  • Supporting Compliance and Invoicing: Assist in preparing reports, contracts, presentations, and standard operating procedures (SOPs) with minimal guidance.

  • Customer Service and Marketing: Contribute to customer service efforts and logistics pertaining to marketing campaigns. You may also carry out general administrative tasks.

Required Skills & Qualifications

  • Experience: Proven background in executive assistance or operations coordination, particularly in a startup or franchise environment will be beneficial.
