Position Overview

As an HRIS Specialist, the responsible individual will primarily manage and maintain the Human Resources Information System (HRIS). Key Responsibilities

HRIS Management

  • Maintain and update the HRIS system, ensuring accuracy and consistency of employee data, records, and reporting.

  • Generate reports and analytics from the HRIS to provide insights into employee trends, headcount, turnover, and benefits utilization.
  • Troubleshoot any issues related to the HRIS, offer technical support for users, and provide necessary training.
  • Collaborate with IT and external vendors to enhance system performance and maintain data security compliance.

Payroll Administration

  • Process payroll on a bi-weekly, semi-monthly, or monthly basis, ensuring compliance with local, state, and federal regulations.
  • Validate payroll data, which includes hours worked, overtime, deductions, and tax withholdings.
  • Address any discrepancies with payroll and respond to employee queries regarding their pay.
  • Prepare and file required payroll tax reports, such as W-2s and 1099s, while managing deductions and direct deposits.

Benefits Administration

  • Oversee employee benefits programs, including health insurance, retirement plans, and voluntary benefits.
  • Manage the open enrollment process, ensuring it is completed timely and that details are effectively communicated to employees.
  • Liaise with benefits providers to resolve any benefits-related issues employees may have.
  • Ensure compliance with various benefits regulations such as COBRA, ACA, and ERISA while maintaining records in the HRIS.

Compliance & Auditing

  • Maintain adherence to applicable employment and payroll laws at federal, state, and local levels.
  • Conduct regular audits of HRIS, payroll, and benefits records to ensure data integrity and compliance.
  • Assist with internal and external audits by providing necessary documentation and support to auditors.

Collaboration & Support

  • Work closely with HR and Finance teams to ensure accurate reporting and reconciliation concerning payroll and benefits expenses.
  • Provide excellent customer service by addressing payroll and benefits inquiries from employees promptly.
  • Support various HR projects, including system upgrades, process improvements, and employee onboarding and offboarding processes.

Skills & Qualifications

To be a successful HRIS Specialist, candidates must possess certain qualifications:



Required Skills

  • A Bachelor’s degree in Human Resources, Business Administration, or a related discipline, or equivalent experience.
  • A minimum of 3 years of experience in HRIS, payroll, and benefits administration.
  • Proficiency in HRIS systems, such as BambooHR, Workday, ADP, or UKG.
  • Experience with payroll software and benefits management platforms.
  • A strong understanding of payroll regulations and industry best practices in benefits administration.
  • Capacity to be proficient in Microsoft Excel and use data analytics tools.
  • Excellent organizational skills and attention to detail are crucial.

Nice to Haves
